We often say, "There are not enough hours in the day", as it seems we struggle to get things done.  I've learned that the truth is, there are enough hours in the day, we just need to learn how to better prioritize, delegate and delete...everything isn't meant for us to do.

With that in mind, let's categorize our tasks based on urgency and importance.    

  • Urgent & Important: Do these immediately.  These task should be non-negotiable.
  • Important, Not Urgent: Schedule these thoughtfully.  Remember, time is limited.
  • Urgent, Not Important: Delegate, if possible.  You were not meant to do it all.
  • Not Urgent, Not Important: Consider eliminating them.

The next thing, you've probably heard often, set SMART goals.  

  • Specific - exactly what are you trying to accomplish
  • Measurable - one where you can track your progress, i.e. pray for 1 hour
  • Achievable - set realistic goals, challenging but within reach
  • Relevant - is the particular task getting you closer to your overall goal?
  • Time based - give the task the appropriate time 

After you have considered the goals you have for the week and identified the tasks to reach those goals, use a color block system on your calendar for the week as you write in tasks.  This will allow you to easily identify where you spend your time, where you have free time as well as where/how you waste time.  

In the example below, the non-negotiables are filled in.  I still have room to fill in tasks that will help me reach my daily/weekly goals, exercise, self care, recreation and family/friends time.  This is an effective way to stay on track or see where you can move things around.  At the end of each day, you can reflect on how well you did and make adjustments for the balance of the week.  Then rinse and repeat!

Lastly, it's okay to say no.  Respect your time by not overcommitting. Politely decline tasks or requests that don’t align with your priorities or bandwidth.  Sticking to a schedule takes discipline, you can do it.  It takes 21 days to form a new habit, implement a schedule that will get you closer to your goals, one week at a time!
